1. Who we are
VcsPay is a freelancer invoicing and payment-tracking application published by Visionary Computer Solutions. We are the data controller responsible for your personal information processed through the Service, unless stated otherwise in this policy.

2. Scope
This policy applies to the VcsPay mobile app, account features, invoice and client management tools, reminders, exports, and any websites or pages we operate that link to this policy (such as client invoice approval pages).
This policy does not apply to third-party services you choose to use from within the app (for example, WhatsApp, your device email app, or your app store). Those services are governed by their own policies.
3. Information we collect
We collect information in the following categories:
3.1 Account and identity information
- Email address used to sign in
- One-time sign-in codes sent to your email
- Basic account and session details needed to keep you signed in securely
3.2 Business and profile information you provide
- Business name, phone number, and contact details
- Default currency, invoice preferences, and business settings
- Bank or payment details you choose to store for invoices
- Business logo or images you upload
- Income goals and related preferences you set in the app
3.3 Client and invoice information you provide
- Client names, companies, contact details, notes, and ratings
- Invoice details, line items, amounts, taxes, due dates, and status
- Payment records and reminders linked to invoices
- Notes, attachments, or proof of work you add to invoices
You are responsible for ensuring you have a lawful basis to collect and process your clients' information in VcsPay.
3.4 Device and app information
- Device type, operating system, app version, and language settings
- Information needed to deliver push notifications, if you enable them
- Basic information used to keep the Service secure and reliable, and to fix problems
3.5 Information stored on your device
To support offline use and faster loading, parts of your account and business data may be stored locally on your device. You can clear local app data from the app settings where available.
3.6 Advertising (free plan)
VcsPay may show ads on the free plan through Google AdMob. When ads are enabled, Google and its partners may collect or receive device identifiers, IP address, ad interaction data, and similar technical information to deliver, measure, and personalize ads (where permitted by law and your choices).
- In the European Economic Area, UK, and similar regions, we use Google's User Messaging Platform (UMP) to request consent before personalized ads are shown.
- On iOS, you may also see Apple's App Tracking Transparency prompt when applicable.
- You can limit ad personalization through in-app consent choices, your device advertising settings, or by upgrading to a paid plan when available.

3.7 Information we do not collect
- We do not sell your personal information
- We do not use VcsPay to collect precise location data
- We do not knowingly collect information from children under 13
- We do not access your contacts, microphone, or call logs through VcsPay
4. How we use your information
We use information to:
- Create and manage your account
- Provide invoicing, client management, reminders, reporting, and related features
- Generate and share invoices and payment follow-ups at your direction
- Send optional push reminders you configure
- Sync your data across sessions and devices linked to your account
- Improve reliability, security, and customer support
- Comply with law and respond to lawful requests
5. Legal bases for processing (EEA, UK, and similar regions)
Where required by law, we rely on one or more of the following bases:
- Contract: to provide the Service you request
- Legitimate interests: to secure, maintain, and improve the Service in a way that does not override your rights
- Consent: where you opt in, such as push notifications
- Legal obligation: where we must retain or disclose information by law
6. How we share information
We do not sell or rent your personal information. We may share information only in these situations:
- Service providers: trusted partners who help us host, secure, deliver, and support the Service under confidentiality obligations (including Google AdMob for advertising on the free plan)
- At your direction: when you share invoices, PDFs, messages, or approval links with clients through email, messaging apps, or other tools you select
- Legal and safety: to comply with law, court orders, or government requests, or to protect rights, safety, and security
- Business changes: in connection with a merger, acquisition, or asset sale, subject to continued protection of your information
7. International data transfers
VcsPay is available to users worldwide. Your information may be processed in countries other than your own. Where required, we use appropriate legal safeguards designed to protect your information.
8. Data retention
We keep your information for as long as your account is active and as needed to provide the Service. If you delete your account, we delete or anonymize your personal information within a reasonable period, except where retention is required by law, for dispute resolution, or for legitimate security and backup needs for a limited time.
9. Security
We use reasonable security measures designed to protect your information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
10. Your choices and rights
Depending on where you live, you may have rights to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your information
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Receive a copy of your information in a portable format, where applicable
- Lodge a complaint with your local data protection authority
10.1 Account deletion
You can delete your VcsPay account at any time. Account deletion permanently removes your profile and associated business data from our systems, subject to limited legal or security retention described in section 8.
How to delete your account in the app
- Open VcsPay and sign in.
- Go to Settings.
- Under Data & privacy, tap Delete account.
- Confirm the prompts. An internet connection is required.
Data deleted
When you delete your account, we delete or anonymize data tied to your account, including:
- Your user profile and sign-in credentials
- Clients, invoices, invoice items, payments, reminders, and milestones
- Locally cached copies of your data on the device
- Scheduled push notification reminders
Data we may retain
We may retain limited information for a short period where required by law, for dispute resolution, fraud prevention, or legitimate security and backup needs, as described in section 8. We do not use retained data to provide the Service or for marketing.
If you cannot access the app, email info@vcs.com.pk with the subject line "Account Deletion Request" and the email address linked to your VcsPay account. We may verify your identity before processing the request.
10.2 Push notifications
You can enable or disable reminders in app settings and through your device notification settings at any time.
10.3 California residents (CCPA/CPRA summary)
California residents may have the right to know, access, delete, and correct personal information, and to opt out of the sale or sharing of personal information. VcsPay does not sell personal information. To exercise your rights, contact us at info@vcs.com.pk.
10.4 How to contact us about privacy
To make a privacy request, email info@vcs.com.pk with the subject line "Privacy Request" and describe your request. We may need to verify your identity before responding.
11. Third-party services you may use
VcsPay may open or connect to third-party apps and services only when you take action, such as:
- Sharing an invoice through WhatsApp or another messaging app
- Opening your email app to contact support
- Visiting your app store listing to rate the app
Information you share through those services is controlled by you and governed by the third party's policies.
12. Children's privacy
VcsPay is intended for business users and is not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide notice in the app or by other reasonable means. Continued use of the Service after changes become effective means you accept the updated policy.
14. Google Play and app store disclosure
The information practices described in this policy are intended to align with Google Play's requirements for apps that handle user data, including clear disclosure of data collection, use, sharing, security, and deletion practices. Developers listing VcsPay should ensure their store data safety form matches the categories described in this policy.
